Questions services usually ask first
What counts as a staff seat?
Any staff member with sign-in access to CareScot — carers, senior carers, office staff, and managers. Staff you manage records for but who never log in (for example, someone mid-induction) aren't counted until their account is active.
Where is our data held, and who can see it?
Each organisation's records are scoped at the database layer, so one service can never query another's. Sensitive fields such as National Insurance numbers and pay rates are encrypted at the application layer before they're stored.
Can we import our existing records?
Yes. The Growth and Multi-site plans include guided import for clients, staff, training, availability, equipment, and task history, so you're not starting from a blank file.
Do you support multiple registered services under one group?
Yes, on the Multi-site plan. Each registered service is kept as its own organisation with its own records, while your group gets reporting across all of them.
What happens to our data if we leave?
You can export your records, and we'll agree a retention or deletion timeline with you — in line with the same data retention principles the product applies internally.
